How it works for companies

ToGet4U® is the platform companies use to find staff for their events: hostesses and stewards, promoters, models, bartenders, waiters, interpreters and the other roles that a trade fair, a congress, an in-store promotion or a party calls for. Behind it stand over 50,000 professionals registered on the platform, more than 1,800 events in 2025 and a dedicated Event Manager who follows you from the first request through to payment. Anyone who already knows the roles, the city and the dates can request a free quote straight away.

How do I request staff for my event?

What we need from you is the roles, the city and the period. You do not have to register or open an account to send it. The request comes in through the quote form or a direct contact, and from that moment an Event Manager takes it on. Headcount, days and tasks are the details the quote is built on.

A trade fair stand, a congress with registration desks, an in-store promotion and a roadshow with several stops each call for a different team. If your event looks like none of these, the request can describe it as it is, and we work from what you tell us, whatever the format. When it is still unclear which profiles to bring in, our event services for companies are a sensible place to begin, and we can work out the rest with you.

Which roles can I request?

The catalogue covers the roles needed in the hall, on the stand and at the point of sale: hostesses and stewards, models, promoters, medical hostesses, interpreters, entertainers and animators, bartenders, chefs, waiters, film extras, DJs, promotional models, drivers and security. Hostesses and stewards handle guest welcome, registration, reception, stand guidance and assistance. Promoters work on field marketing and in-store promotions, from sampling to product presentations, while models come in wherever the brand’s image counts, at fashion shows, photo shoots, presentations and in showrooms.

For medical congresses the team is built around medical hostesses, who look after registration, attendance tracking and assistance in the room. Whatever skills really matter to you, from a foreign language to experience with a particular kind of event, go into the request, and that is where the selection starts.

What does staffing cost, and how is the quote built?

You get a free, no-obligation quote, and there is no price list behind it: the cost is built on your request (number of people, hours, days, city, roles involved) and reaches you as a single comprehensive figure. It covers the professionals’ fees with statutory contributions, the agency costs of contracting them and a dedicated Event Manager. Staff insurance and the administrative paperwork are the platform’s responsibility, and none of it falls to your company.

Who chooses the people working at our event?

You do. From the network we shortlist the people available on those dates, in that city and with the background you asked for. Once you accept the quote, you receive their profiles with photos, experience and characteristics, compare them and decide whom to confirm. The whole model rests on that point: with ToGet4U, you choose the staff. On the platform, 90% of selections are closed within 48 hours in peak weeks, while the timing of your own event is something your Event Manager confirms case by case.

How long does it take to receive profiles to compare?

That depends on which roles you request, on which dates and how many people you need. One hostess for a single day and twenty promoters spread over three stops follow different selection paths, and they do not draw on the same pool either. The answer comes from your Event Manager, who assesses the request and lets you know when the dates are close or the role is an unusual one.

Who looks after us throughout the process?

You have a dedicated Event Manager, always the same person, who takes the brief, prepares the quote, coordinates the selection, handles the contracts and remains your point of contact while the event takes place. One contact replaces the twenty you might otherwise juggle, and no request changes hands along the way. The full process, from the first request to the post-event stage, is set out in our method.

What changes if we entrust you with the whole event?

The choice changes what the quote covers, so it is worth making before you ask for one. When you book staff only, the Event Manager follows the event remotely and stays your contact for any change. A site visit to the venue is not part of that service: it depends on the case, and we do not promise it.

If the organisation of the entire event is ours, the site visit is included and the Event Manager is on site on the day, with coordination that extends to suppliers, supervision of the spaces and the management of entrances and exits. Both services include the staff briefing before the event.

How is the contract signed?

For the staff, online: every professional you confirm receives their own digital contract, with the fee known before they accept. Your own contract and the information about the service reach you by email, with the contract as a PDF. We take care of contracting the staff, so your part stops at confirming the profiles.

What do the staff know before they arrive?

Before the event starts, the briefing gives them the dress code, the working hours, their positions and their on-site contacts. A team that arrives with all of that already clear needs no instructions on the spot, which leaves your time on the day for your guests.

What happens on the day of the event?

The Event Manager who has followed your request from the start is still the one to call once the event begins. With a staff-only booking they follow the event remotely, and if plans shift while it is running there is a single person to alert. Because the delegation is complete, your own attention can stay on the event itself.

Can we request staff in several cities and countries?

Yes. We operate in Italy, Germany and Spain, and the platform covers other cities across Europe as well. Dates and places are yours to decide, and we work with the availability of the network in that period.

For a campaign that reaches several cities, you still send one request and keep one point of contact. That applies to field marketing across a string of towns as much as to an event repeated at two or three venues in the same month.

When and how do we pay?

Payment closes the process. You receive the invoice for the service from ASDM S.r.l., the company that runs ToGet4U, with no separate administrative dealings with each individual professional. Paying the professionals is our job, according to how they work: on terms agreed case by case for those with a VAT number, on scheduled dates for occasional workers and on timing agreed case by case for those on an employment contract. That distinction concerns them and has no bearing on your invoice.

Where do we start?

You start with the roles you need, the city and the days, which is everything required on your side before we take care of the rest. A quote request that sets out your event, with its type, dates, venue and roles, goes to the Event Manager who will follow it.
