Companies staffing a trade fair in Milan, a two-day congress or an in-store promotion all start from the same request: which figures, in which city, on which dates. A dedicated Event Manager reads it and prepares the quote; if you accept it, they send you the profiles available in your city. Asking for it is free, carries no obligation and needs no registration.
The form stays the same for a roadshow over three stops, an open day at your premises or an internal convention that needs welcome and accreditation staff. An event that fits none of these can be described in your own words, covering what happens, where, when and how many people you need, and the Event Manager works from that description.
What to include in your request
The quote is built on what the request contains, so these are the details worth including:
- Figures: hostesses and stewards, promoters, models, bartenders, waiters, chefs, DJs, interpreters, entertainers and animators, medical hostesses and many other figures.
- City where the event takes place, and the venue if it is already confirmed.
- Dates, including set-up and dismantling days if you need someone there as well.
- Duration: how many hours a day, and in which time slot.
- Role: welcome and accreditation, stand support, reception, sampling, assistance in the meeting room, bar service.
- Requirements that matter to you: a language to speak on the stand, a dress code, experience at a similar event. If you state them in the request, they become part of the preselection criteria.
The number of people for each figure is worth adding too, even as a rough estimate. A number you haven’t settled yet doesn’t hold the request up: marked as approximate, it is something the Event Manager checks with you before the quote becomes final.
After you send the request
Every enquiry follows the same path: send your request, receive the quote, compare and choose. The quote covers everything. If you accept it, you receive a link with the profiles already preselected for your city and for the role you described, each showing experience and availability. Those profiles are drawn from over 50,000 professionals registered on ToGet4U®. The final choice is yours, and the whole service is built around it: you choose the staff, and we look after your event. Everything after that, from the contract to payment, is explained in how it works for companies.
A dedicated Event Manager, from request to post-event
Each business client has a dedicated Event Manager, who reads the request, preselects the profiles and stays in touch with you while the quote takes shape. With the team chosen, the same person prepares the staff briefing on dress code, hours, positions and on-site contacts, and arranges a replacement if someone drops out. You deal with one point of contact from the first request until the event is closed.
What changes between a staff-only request and an event we organise
The quote changes with how much of the event you hand over. When you need staff alone, for example hostesses and stewards at the welcome desk or promoters for an in-store activation, the Event Manager prepares the briefing and then follows the event remotely. If the whole event is ours to organise, the scope widens to a site inspection of the venue, coordination of suppliers, supervision of the spaces, management of entrances and exits, and an Event Manager on site on the day. That choice shapes the quote before any other detail, which is why it belongs at the top of the request.
Free, no obligation, all-inclusive
Receiving the quote costs nothing and binds you to nothing: you can compare it and decide not to go ahead. There is no price list, because the price depends on how many people you need, for how many days, in which role and in which city, and is worked out in the quote itself. Some things stay the same for every event. Professionals pay nothing to sign up and apply, and the quote covers everything: the staff fees with statutory contributions, contracting the staff, RCT/RCO insurance and the paperwork with the Labour Inspectorate, a dedicated Event Manager, travel costs and the briefing. Staff insurance and the administrative paperwork are borne by the platform.
Figures and services you can request
For welcome, accreditation, reception and stand support, the natural starting point is our event hostess and steward agency, which covers front-of-house roles at trade fairs and congresses. When the event needs managing as a whole, the request can start from our event services instead: medical congresses, corporate family days, field marketing, in-store promotion, team building and event catering all sit there. The Event Manager builds the proposal around the entire scope.
We operate in Italy, Germany and Spain, and in 2025 we managed more than 1,800 events, with over 6,000 since the platform launched. If you would rather ask something before sending a request, you can contact us by email. Otherwise, request a free quote: with the figures, city, dates, duration and role in hand, the rest is on us.
