What our event stewards do
At an exhibition the steward’s day starts before the doors open, with the registration area to set up, badges to sort by name and a list of pre-registered visitors to check. When the public arrives, the same steward hands out passes, answers the first questions and shows people the way to the halls, the seminar rooms and the exhibitors they came to see. An exhibition steward booked by a single company works on its stand instead, welcoming visitors, handing out brochures and introducing each one to the right colleague for as many days as the show lasts.
Congresses concentrate the accreditation work in the hour before the opening session, when delegates collect their badge and their congress kit. After registration closes, the stewards move to the information point, to the foyer of the plenary hall and to the corridors between parallel sessions, where delegates look for the next room. At medical and scientific congresses they can work alongside medical hostesses, who handle attendance recording and assistance in the room.
Corporate events and product launches call for the same welcome in a smaller space: guests are greeted and registered on arrival, shown to the room or to their table, and helped with whatever comes up during the programme, from a change of room to a lost badge. Before the day, each steward receives a briefing on dress code, hours, position and the contacts at the venue. Your Event Manager follows the event remotely and remains your point of reference if the schedule moves.

Why choose ToGet4U as your steward agency
As an event steward agency, ToGet4U® draws every proposal from over 50,000 professionals registered on the platform. It managed more than 1,800 events in 2025 and has reached over 6,000 events since launch. More than 1,300 clients and partners work with ToGet4U. The size of the network is what makes coverage possible in secondary cities as well as in the capitals. We operate in Italy, Germany and Spain, and the platform selects professionals in cities across Europe, so a company exhibiting in several countries can book stewards for each event through one process.
The selection is made by a person. An Event Manager reads your request, pre-selects the stewards who match the dates, the city and any requirement you set, and, once you have accepted the comprehensive quote, sends them to you, each profile showing what the steward offers, where they have worked and when they are free. In peak weeks, 90% of selections are closed within 48 hours. You keep the final word on every name, since only the stewards you choose work your event.
Insurance for the staff and the paperwork are borne by ToGet4U, and the selection of the profiles happens online. On the supply side, stewards join for free and apply on their own to the steward job openings that fit their dates, with the fee stated before they accept.
Events and roles we staff
For each type of event, stewards can work alongside other professionals booked in one request:
- Trade fairs and exhibitions: stewards at registration and on stands, with hostesses for the stand welcome and promoters for sampling and product demonstrations.
- Congresses and medical congresses: stewards at accreditation and the information point, with medical hostesses in the congress rooms and interpreters for sessions with international delegates.
- Corporate events and conventions: stewards for guest registration and directions, with bartenders and waiters for the reception and DJs for the evening programme.
- Product launches and brand events: stewards for the welcome and orientation of guests, with models or promotional models for the presentation of the product.
Hostesses on ToGet4U are event hostesses, working on welcome, accreditation and hospitality, including the VIP area of an event, and the event hostess and staff agency books them together with stewards. The rest of the catalogue can join that booking as well: entertainers & animators, chefs, film extras, drivers and security. Other formats, such as a store opening, a company anniversary or a customer day at a production site, are staffed through a quote request that describes the type of event, the dates, the place and the figures, and the proposal is built on that description.
How to request stewards for your event
A request for stewards names the figures, the city and the dates, and it can be sent without creating an account. Details such as the number of desks and stands, the opening hours, a language the stewards should speak or previous work at congresses go into the same request as requirements, and the pre-selection starts from them. The quote that comes back is free and carries no obligation, and the profiles of the available stewards arrive once you accept it. Once you have compared the profiles and chosen your stewards, the contract with each of them is signed digitally on the platform, and the Event Manager assigned to you stays your contact until the post-event stage. The first step is a free quote for event stewards with the dates and the positions to cover.
