Airport, station, hotel and venue: the driver’s transfers
The driver works from the schedule you hand over before the event. On arrival they wait for guests and speakers at the airport or the station, at the flight or train time you have given, and take them directly to the hotel, or to the venue if the sessions start straight away. We ask our drivers for punctuality on the agreed times and discretion with the people in the back: a speaker rehearsing a talk or a guest discussing business on the phone should be able to forget who is driving. Welcoming guests at the venue entrance is the job of our event hostesses and stewards, who wait for the guests where the driver drops them off.
Scheduled shuttles between hotels and halls
A trade fair or a congress over several days needs scheduled shuttles between the delegates’ hotels and the venue. You set the time slots in the request, and a delegate who leaves the hotel at a quarter past eight expects to find the shuttle already at the door.
Rides home at the end of the evening
The ride back after the gala dinner closes the day and goes into the schedule like the other transfers. If you do not know when the evening will end, give the end of the evening as a reference, so the driver knows how long to stay and you know who takes the last guests back to the hotel.
Licence, vehicle type and languages: what to ask of the driver
The driver’s profile takes shape from the request, so write it with the person who will drive on your behalf in mind. Start with the vehicle, because the type you provide determines the licence required, and the number of passengers tells you whether one driver is enough or you need more. Then comes the schedule: how many transfers, at what time and with which pick-up and drop-off points.
If some guests are from abroad, list the languages the driver should speak, even just to welcome them on arrival and explain the route. Add the dress code you want behind the wheel and any experience with similar events, if you need someone who already knows the rhythm of a trade fair. You set these requirements, and your Event Manager uses them to preselect the profiles to propose.
